Privacy Policy

Enamelogic LLC ("Enamelogic," "we," "us") respects your privacy. This Privacy Policy explains what we collect, how we use it, and the choices you have when you use Enamelogic (the "Service"). It supplements the data terms in our Terms of Service (Section 2).

1. Information We Collect

We collect only what we need to run the Service:

  • Account and practice details you enter — your name, credentials, position, email, and phone; and your practice name, address, ZIP, NPI, tax ID/EIN, and optional financials (annual revenue, overhead %).
  • Negotiation inputs — the fee schedules and dental procedure (CDT) codes you upload, your office UCRs, carrier names and contacts, and revenue-share figures.
  • Content you generate — audits, drafted letters, and your PPO Genius conversations.
  • Usage and device data — log data, cookies, and similar identifiers used to keep you signed in, secure your account, and improve the Service.

2. What We Don't Collect

Do not upload protected health information (PHI) or individually identifiable patient data — the Service isn't designed for it, and you're responsible for de-identifying anything you submit. The Service isn't directed to children and we don't knowingly collect their data.

3. How We Use Your Information

To provide and operate the Service for you (run audits, draft letters, power PPO Genius); to secure and support your account; to communicate with you about the Service; and to produce aggregated, de-identified statistics that identify no individual customer. We do not sell your personal information, and we do not use one customer's data to generate analysis or recommendations for another.

4. Your Data Stays Separate

Your data is held in a segregated, per-practice environment with access controls. We do not pool, mix, or share one customer's data with another. Our reimbursement benchmarks come from independent public reference sources — never assembled from customers' fee schedules.

5. How We Share Information

We share information only with: (a) trusted service providers ("subprocessors") under contract who host our infrastructure and power the Service — including our cloud hosting and database provider, our email-delivery provider, and our AI provider, Anthropic, PBC, whose models help generate your analysis, drafted letters, and PPO Genius answers — each limited to what's needed to operate the Service and bound to confidentiality and data-protection obligations; (b) the specific carrier you choose to send an output to; (c) government authorities where required by law or to protect our legal rights; and (d) advertising and measurement partners, specifically Meta (Facebook), on the advertising and sign-up pages you reach from our online ads, as described in the paragraphs below.

Your inputs and the content you generate are processed only to operate the Service for you — they are not used to train any AI provider's models.

On the advertising and sign-up pages you reach from our online ads, we use cookies and similar tracking technologies, including the Meta Pixel and the Meta Conversions API, to measure how our ads perform and to reach dentists with similar needs. These tools share limited information with Meta (Facebook), such as the pages and actions you trigger on those pages, the value of a purchase, and identifiers like a hashed email address and IP address used to match an event to an ad. We do not sell your personal information.

To opt out of this ad measurement, email us at support@enamelogic.com, adjust your browser cookie settings, or use Meta's own ad-preference controls. These advertising tools run only on our advertising and sign-up pages, not inside your signed-in workspace, and never receive the fee schedules, letters, or PPO Genius conversations you create in the Service.

6. Text Messaging (SMS)

If you give us your mobile phone number and check the optional consent box where we collect it, we may send you recurring automated text messages. These include marketing and promotional messages (such as tips, updates, and special offers) and account and service messages (such as a sign-in or account-recovery link, security and account notifications, and service updates). We send marketing texts only with your consent, and consenting to texts is never a condition of using the Service.

Message frequency varies. Message and data rates may apply, depending on your mobile carrier and plan. You can opt out at any time by replying STOP to any message; we will send one confirmation text and then stop sending. Reply HELP for help, or contact us at support@enamelogic.com. Carriers are not liable for delayed or undelivered messages.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. This includes your mobile phone number and your text-messaging opt-in and consent. We may share this information only with the service providers that help us deliver these messages, such as our messaging and cloud providers, and only to operate the texting program. We do not share your mobile number or SMS consent with our advertising or measurement partners, including Meta.

Text messaging originator opt-in data and consent will not be shared with any third parties, excluding aggregators and providers of the Text Message services.

7. Data Retention

We keep your Customer Data while your account is active and as needed to provide the Service or meet legal obligations. You can delete records in-app where supported, or contact us to request deletion of your account data, subject to legal retention requirements.

8. Security

We use reasonable technical and organizational safeguards (segregated storage, authentication, access controls) to protect your data. No method of transmission or storage is perfectly secure, so we can't guarantee absolute security.

9. Your Choices and Rights

You can review and update most of your information in Settings, or contact us to access, correct, or delete your data. Depending on where you live, you may have additional rights under applicable privacy laws; to exercise them, contact us at the address below.

10. Changes to This Policy

We may update this Policy from time to time. We'll update the "Last updated" date and, where appropriate, notify you. Continued use after changes take effect means you accept the updated Policy.
